Set Up Recurring Events for Your Church Group

Set It Once, Never Think About It Again

If your group meets on the same day every week, you should not have to create a new event every single time. Recurring events in Flock let you set up your meeting schedule once, and Flock automatically generates future events — complete with RSVP, reminders, and attendance tracking for each occurrence.

This is one of those small things that saves leaders a surprising amount of time over the course of a year.

How to Create a Recurring Event

Step 1: Start Creating an Event

Open the Events tab and tap the + button, just like you would for any new event.

Step 2: Fill In Your Details

Enter the title, date, start time, location, and any other details. This information will carry over to every occurrence.

Step 3: Set the Recurrence Pattern

Look for the Repeating option. You will see four choices:

Choose the pattern that matches your group's schedule.

Step 4: Save

Tap save. Flock immediately generates upcoming occurrences on your events calendar. Each occurrence is its own event with its own RSVP responses and attendance record.

What Each Occurrence Includes

Every individual occurrence of a recurring event has:

  • Its own RSVP — Members can respond separately for each week. Going this Tuesday does not automatically mean going next Tuesday.
  • Its own attendance record — You take attendance for each occurrence independently, so your weekly data stays accurate.
  • Its own reminders — Members receive fresh reminders before each occurrence, not a one-time notification.
  • The same details — Title, time, location, and description carry over from the original setup. If you need to change something for one specific week, you can edit that individual occurrence.

Editing a Single Occurrence vs. the Whole Series

Sometimes your group needs to change plans for one week without affecting the rest of the schedule.

To change one occurrence: Open that specific event and edit its details. For example, if you are meeting at a different location this Tuesday because of a church event, you can update just that one occurrence. All other weeks stay the same.

To change the whole series: If your group permanently moves from Tuesdays to Wednesdays, or changes the start time, update the recurring series so all future occurrences reflect the new schedule.

Common Recurring Event Setups

Weekly Bible Study

  • Title: "Tuesday Night Bible Study"
  • Pattern: Weekly
  • Time: 7:00 PM - 8:30 PM
  • Location: "Room 201, Main Campus" or "The Smith's House"
  • RSVP: Optional (regulars usually come, so RSVP is less critical)

Bi-Weekly Small Group

  • Title: "Young Adults Small Group"
  • Pattern: Bi-weekly
  • Time: 6:30 PM - 8:00 PM
  • RSVP: Enabled (since it is less frequent, knowing who is coming helps with planning)

Monthly Social

  • Title: "Group Dinner Night"
  • Pattern: Monthly
  • Time: 6:00 PM
  • Location: Varies (update each occurrence with the restaurant or host home)
  • RSVP: Definitely enabled (you need a headcount for reservations)

Monthly Prayer Meeting

  • Title: "First Saturday Prayer Gathering"
  • Pattern: Monthly
  • Time: 8:00 AM - 9:00 AM
  • Location: "Church Prayer Room"

Tips for Managing Recurring Events

Set up your recurring event before your next meeting. The sooner it is in the system, the sooner your members start seeing it and can RSVP. There is no reason to wait.

Check the "Needs Attention" filter. After each meeting, the Events tab shows which past events are missing attendance records. This is your reminder to go back and record who was there.

Do not create a new event every week. If you set up a recurring event, Flock handles the rest. Creating a separate event each week leads to duplicate entries and messy data.

Use descriptions for special weeks. If a particular week has a different topic, guest speaker, or activity, update that occurrence's description so members know what to expect. The recurring title stays the same, but the description gives context.

Cancel individual occurrences when needed. If your group is not meeting one week (holiday, church-wide event, etc.), you can cancel just that occurrence without affecting the rest of the series.
