Why Attendance Matters
Attendance is not about counting heads. It is about knowing who is there — and, more importantly, noticing who is not. When you track attendance consistently, Flock can spot patterns you might miss: a member slowly pulling away, a visitor who came once and never returned, a group that is growing or shrinking over time.
The best part? Taking attendance in Flock takes less than 60 seconds, no matter which method you choose.
Three Ways to Take Attendance
Flock offers three approaches to attendance tracking. Each one fits a different situation, and you can mix and match depending on the day.
Method 1: Photo Attendance (AI-Powered)
This is the flagship method — and the one most leaders love. Take a group photo, and Flock's AI identifies who is in the picture.
When to use it:
- In-person meetings where most or all members are visible
- Well-lit rooms where faces are clear
- Groups of up to about 30 people
How it works:
- Open the event for your current meeting.
- Tap "Photo Attendance."
- Take a group photo. Try to get everyone's face visible and in decent lighting.
- Wait a few seconds while the AI processes the image.
- Review the matches. Flock shows you who it recognized alongside the faces in the photo. You can confirm, correct, or adjust.
- Handle unknown faces. For anyone the AI does not recognize, you can identify them from your member list, mark them as a visitor, or skip them.
- Confirm and save.
The whole process takes 60 to 90 seconds for a typical group. Over time, as more members have profile photos and the AI has more data, recognition gets faster and more accurate.

Method 2: Manual Check-In
A simple, reliable fallback when photo attendance is not practical.
When to use it:
- Virtual meetings over Zoom or video call
- Outdoor gatherings where lighting is tricky
- Very small groups where a photo feels unnecessary
- Situations where you want to mark attendance after the meeting from memory
How it works:
- Open the event for your current meeting.
- Tap the Attendance tab.
- You will see a list of all group members with toggle switches.
- Tap each member who is present. Their status switches to "Present."
- Changes save automatically.

Method 3: RSVP Pre-Population
When members RSVP "Going" to an event, their responses can pre-populate the attendance list. As the leader, you can review and adjust the list at the meeting, confirming who actually showed up.
When to use it:
- Events where most attendees RSVP in advance
- As a starting point that you fine-tune during the meeting
This method works best as a complement to photo or manual attendance, not as a replacement. RSVPs show who planned to come — attendance confirms who actually did.
Recording Attendance for an Event
Every attendance record in Flock is linked to a specific event. Here is the general flow:
- Create an event for your meeting (or let a recurring event generate one).
- At the meeting, open the event and choose your attendance method.
- Record who is there. Use photo, manual check-in, or start from RSVPs.
- Mark visitors if first-time guests are present. You can enter their name and contact info.
- Save. Attendance data flows into your group's trends and insights automatically.
If you forget to take attendance at the meeting, you can always go back and record it later. Open the past event and fill in the attendance from memory.
Attendance Status Options
Flock uses four statuses to give you a clear picture:
| Status | What It Means |
|---|---|
| Present | The member attended the meeting |
| Absent | The member did not attend |
| Visitor | A first-time guest (not a regular member) |
| Excused | The member had a pre-approved absence |
Excused absences do not count against a member's attendance record, so a vacation or planned trip will not trigger an at-risk alert.
Tips for Consistent Attendance Tracking
Make it a habit. Take attendance at the same point in every meeting — the first five minutes works well. Consistency is what makes the data useful over time.
Set up recurring events. When your weekly meeting is a recurring event in Flock, the event is already there waiting for you. You just open it and take attendance.
Do not stress about perfection. If you miss a week, that is fine. Flock works with whatever data you give it. Even tracking attendance most weeks gives you useful trends and at-risk detection.
Check the "Needs Attention" tab. The Events screen has a filter for events that are missing attendance records. If you forgot to take attendance at your last meeting, this tab reminds you.
