Flock's photo attendance works like this: you take one photo of your group, and Flock's AI identifies everyone in it. You review the matches, tap confirm, and attendance is done. The whole process takes about 60 seconds.
No clipboards. No roll calls. No spreadsheets. Just a group photo that doubles as your attendance record.
Here is exactly how it works, step by step.
How to Take Photo Attendance
Step 1: Open Your Group
From the Flock app, make sure you are viewing the group you want to take attendance for. If you lead multiple groups, use the group selector at the top of the screen to switch to the right one.
Step 2: Tap "Take Attendance"
Navigate to your event and tap the "Photo Attendance" button. This opens your phone's camera with Flock's attendance mode active.
Step 3: Snap the Photo
Take a photo of your group. Get everyone in the frame — this is the fun part. People are used to group photos, so it feels natural, not administrative. Smile, everyone.
Step 4: Review the Matches
Flock's AI processes the photo and compares each face against the profile photos of your group members. Within moments, you will see a review screen showing:
- Matched members — People the AI recognized. Their names appear next to their face in the photo, and they are automatically marked as present.
- Unmatched faces — New faces the AI does not recognize. These could be first-time visitors or members who have not yet added a profile photo.
For each unmatched face, you have several options:

| Add new member | They are new to the group and you want to add them right now. |
| Mark as visitor | They are a first-time guest. Enter their name and optionally their contact info. |

Step 5: Tap "Confirm"
Once you have reviewed the matches and handled any unmatched faces, tap Confirm. Attendance is saved, and you are done.
Everyone is marked present, visitors are logged, and the whole thing took less time than reading a single announcement.
Automatic Visitor Detection
One of the most valuable parts of photo attendance is what happens with new faces. When the AI spots someone it does not recognize, it flags them for you. This means you never miss a visitor.
First-time guests are the lifeblood of a growing group. But in the flow of a busy meeting, it is easy to forget to ask someone's name or to follow up later. Flock captures that information in the moment, so you can reach out after the meeting with a welcome message.
Visitors are tracked separately from regular members, so you can see over time how many new faces are coming through your group and whether they are returning.
Manual Attendance: The Flexible Fallback
Photo attendance is great for in-person gatherings, but sometimes it is not practical. Maybe your group met over a video call. Maybe you gathered outdoors and half the group was wearing sunglasses. Maybe you just forgot to take the photo before people started leaving.
That is what manual attendance is for. Open your event, go to the Attendance tab, and you will see a list of all your group members with toggle switches. Tap each person who was there. Changes save automatically — no confirm button needed.
Manual attendance takes under 60 seconds for a group of 15 people. It is simple, it is reliable, and it is always there as a backup.
Attendance Statuses
Whether you use photo or manual attendance, each member gets one of four statuses:

| Present | The member attended the gathering. |
| Absent | The member did not attend. |
| Visitor | A first-time guest who is not yet a member. |
| Excused | The member could not attend but let you know ahead of time. |
Excused absences are important because they do not count against a member's attendance record. If someone tells you they will be traveling for two weeks, marking them excused means Flock will not flag them as at risk for those absences.
Tips for the Best Photo Results
Photo attendance works best when the AI can clearly see everyone's face. Here are a few tips to get the most accurate matches:
Good lighting helps. Natural light or a well-lit room gives the AI the best chance of recognizing everyone. Dim rooms still work, but matches may be less confident.
Have everyone face the camera. This sounds obvious, but a side profile or the back of someone's head is hard for any AI to work with. A quick "Everyone look this way!" before you snap makes a big difference.
Avoid strong backlighting. Standing in front of a window with the sun behind the group can turn everyone into silhouettes. If you are near a window, face the group toward the light, not away from it.
Get everyone in the frame. The AI can only match faces it can see. If your group is large, you might need to take a step back or switch to a wider angle. Flock works well with group shots of up to 30 people.
Profile photos matter. The AI matches faces against member profile photos. Encourage your members to upload a clear, recent headshot. The better the reference photo, the more accurate the matches.
What Happens After Attendance
Once attendance is saved, the data feeds into several other features in Flock:
- At-risk detection monitors attendance patterns over time. If a member misses three gatherings in a row or falls below 50% attendance in four weeks, Flock flags them so you can follow up.
- Group health scores use attendance as a primary factor. Consistent attendance keeps your group in the green zone.
- Attendance trends let you see patterns over weeks and months. Is attendance growing, steady, or declining? The trend tells the story.
Taking attendance is not just a record-keeping exercise. It is the first step in knowing who is present, who is missing, and who might need your care this week.
