Admin Dashboard: Your Church at a Glance

The Big Picture for Church Leaders

The Admin Dashboard is the command center for your church's Flock experience. It gives pastors and administrators a bird's-eye view of everything happening across the organization — total members, active groups, attendance health, prayer activity, and more — all from a single screen.

This is where church-wide leadership happens. Instead of asking individual group leaders for updates, you can see the data yourself and focus your attention where it matters most.

Who Has Access

The Admin Dashboard is available to:

  • Organization Admins — Full access to everything
  • Campus Pastors — See data for their campus
  • Ministry Directors — See data for their ministry

Group leaders and group members do not have access to the Admin Dashboard. They use the group-level Insights tab instead.

What You See on the Dashboard

Organization Overview

At the top of the dashboard, you get key numbers at a glance:

  • Total members across all groups
  • Active groups currently meeting
  • Subscription tier and usage (how many groups and members you are using out of your limit)

Group Health at a Glance

The dashboard shows the health status of every group in your organization:

  • Healthy groups (80-100% attendance) — displayed with a green badge
  • Needs attention (60-79% attendance) — displayed with a yellow badge
  • At-risk groups (below 60% attendance) — displayed with a red badge

This lets you quickly identify which groups are thriving and which might need support or coaching from leadership.

At-Risk Members Across the Organization

See every member across all groups who has been flagged as at risk. The admin view rolls up at-risk data from the group level to the ministry, campus, and organization level.

For each at-risk member, you can see:

  • Which group they belong to
  • Their recent attendance history
  • How long they have been disengaged
  • Their group leader's name (so you know who is responsible for follow-up)

Prayer Activity

Get a church-wide view of how prayer is being used:

  • Total prayers submitted across all groups
  • Prayers answered
  • Elevated prayers that need pastoral attention
  • Prayer sentiment trends (powered by AI analysis)

Quick Actions

The dashboard provides shortcuts to the most common administrative tasks:

  • Create a new group
  • Invite staff members
  • View elevated prayers on the Intercessory Prayer Wall
  • Check subscription and billing details

Drilling Down: Organization to Individual

One of the most powerful aspects of the Admin Dashboard is the ability to drill down through your church's structure:

Organization — See everything across all campuses Campus — Zoom into a specific campus Ministry — Focus on a specific ministry area Group — See individual group data Member — View a specific person's engagement history

This layered navigation means you can start with the question, "How is our church doing?" and follow the data all the way down to, "How is Sarah doing in the Tuesday night group?"

Using the Dashboard for Leadership Meetings

The Admin Dashboard is an excellent tool for staff meetings and leadership check-ins:

Weekly staff meeting: Pull up the dashboard to review at-risk members, group health scores, and prayer activity. Identify action items and assign follow-ups.

Monthly leadership review: Compare trends over time. Is attendance growing or declining? Are more prayers being submitted? Are at-risk members being followed up on?

One-on-one with a ministry director: Drill into their ministry to see group-specific data. Celebrate wins and identify challenges together.

Tips for Getting the Most from the Dashboard

Check it weekly. The dashboard is most useful when checked regularly. A quick review after Sunday gives you a fresh view of where things stand.

Follow the red. Red badges mean something needs attention — an at-risk group, a declining member, a prayer that needs pastoral care. Start with the red, and you will always be focused on what matters most.

Use it to encourage, not just to correct. When you see a group with a consistently high health score, reach out to that leader and say so. "Your group has been at 90% attendance for three months — thank you for the way you shepherd your people." Recognition goes a long way.

Connect the dots. The dashboard shows data, but the real value is in the connections. If a member is at risk and also submitted a distressed prayer last week, that is a person who needs immediate pastoral attention — not just an attendance follow-up.
