Data in Service of Shepherding
Flock's Insights dashboard is not about metrics for metrics' sake. It exists to help you answer one question: "Who in my group needs my attention right now?"
Whether someone is slipping away, a prayer request signals deep distress, or your group's overall engagement is declining — the Insights dashboard surfaces what matters so you can respond with care, not guesswork.
What You See as a Group Leader
When you open the Insights section from your group, you get a focused view of your group's health and your members' engagement.
Attendance Overview
- Current attendance rate — Your group's average attendance as a percentage over the last four weeks
- Group health score — A color-coded badge showing how your group is doing:
- 80-100% = Healthy (green)
- 60-79% = Needs Attention (yellow)
- Below 60% = At Risk (red)
- Week-by-week attendance — How many people attended each meeting over recent weeks, so you can see the trend
At-Risk Members
This is often the most important section. Flock automatically flags members who show signs of disengagement:
- Three or more consecutive absences, or
- Less than 50% attendance over the last four weeks
Each at-risk member is listed with their recent attendance history, how long they have been absent, and when they last attended. From here, you can reach out directly — send a message, make a call, or plan a visit.

Prayer Activity
See how active your group's prayer life is:
- Total prayers submitted over recent weeks
- Prayers marked as answered — celebrations to share
- Encouragement activity — How many members are praying for and encouraging one another
A group that prays together stays together. If prayer activity is declining, it might be worth encouraging members to share more openly on the Prayer Wall.
Member Engagement
Get a sense of how involved your members are across all features:
- Active participants — Members who have posted prayers, RSVPed, or chatted recently
- Quiet members — Members who have not engaged recently but are still part of the group
- New members — People who recently joined and may need extra welcome
What Pastors and Staff See
If you are a campus pastor, ministry director, or organization admin, the Insights dashboard expands to show data across your scope:
Organization Level
The top-level view shows metrics across your entire church:
- Total members across all groups
- Organization-wide attendance trends
- Groups needing attention (health score below threshold)
- At-risk members across all groups
Campus Level
Drill into a specific campus to see:
- Attendance trends for that campus
- Group health comparisons across ministries
- At-risk member counts by ministry
Ministry Level
Go deeper into a specific ministry to see:
- Individual group performance comparisons
- Which groups are thriving and which need support
- Ministry-wide prayer and engagement data
Group Level
At the bottom of the drill-down, you see the same detail a group leader sees — attendance, at-risk members, prayer activity, and engagement for that specific group.
This layered approach means you can start with the big picture and zoom in to wherever the data points. "Attendance is down across the young adults ministry" leads to "It is mainly in two groups" leads to "These specific members need outreach."
Using Insights for Pastoral Conversations
The Insights dashboard is a powerful tool for conversations between leaders and their overseers:
Group leaders reporting to ministry directors: "Our attendance rate has been 85% over the last month. We have one at-risk member who I have already reached out to. Prayer activity is strong — 23 prayers submitted this month with 15 marked as answered."
Ministry directors reporting to campus pastors: "Three of our five groups are healthy. Two are in the 'needs attention' range. I have scheduled check-ins with those leaders this week."
Campus pastors reporting to the senior pastor: "Our campus has 12 active groups with an average health score of 78%. We have 8 at-risk members being followed up on. Prayer engagement is up 15% over last month."
This kind of data-backed conversation replaces vague feelings with concrete information, making it easier to celebrate wins and address challenges.
Tips for Using Insights Well
Check insights weekly. A quick look after each meeting gives you a regular pulse on how your group is doing. It takes less than a minute and keeps you aware of changes.
Focus on people, not percentages. The numbers are there to point you toward the people who need you. An 82% attendance rate is less important than noticing that Sarah has not been around in three weeks.
Celebrate good news. When attendance is strong or prayer activity is up, share it with your group. "We had 15 prayers answered this month — how amazing is that!" People are motivated by seeing the community thrive.
Do not compare to other groups. Your group's health is measured against its own potential, not someone else's numbers. A group of 6 with 100% attendance is doing great. A group of 30 with 70% attendance is also doing great. Context matters more than comparison.
Use at-risk alerts as invitations. An at-risk flag is not a failure — it is an opportunity. Every flag represents a person who might need a phone call, a coffee date, or simply to hear, "We miss you."
