Your Group at a Glance
The Roster tab is your group's member directory — a single place to see who is in your group, how to contact them, and what you need to know about each person. Whether you need to call someone, check a birthday, or see how a member is doing, the roster puts everything within reach.
What You See on the Roster
When you open the Roster tab, you see a list of every member in your group. Each person's entry shows:
- Profile photo — Their picture (or a default avatar if they have not added one)
- Name — First and last name
- Role — Whether they are a leader, co-leader, or member
- Contact info — Phone number and email, based on their profile visibility settings
Tapping on any member opens their full profile with more details.
Member Profiles
Each member has a profile that includes the information they have chosen to share:
- Name and photo
- Phone number — Tap to call or text directly from the app
- Email address — Tap to send an email
- Birthday — So you can celebrate them (Flock also sends birthday celebration cards to the group's Home feed)
- Role in the group — Leader, co-leader, or member
- Quick actions — Send a message, view full profile
Profile Visibility
Every member controls what information other group members can see. If someone does not want their phone number visible, they can hide it in their profile settings. Leaders always see contact information for their group members, even if it is hidden from other members — this is necessary for the pastoral care responsibilities that come with leading a group.
Tappable Avatars: Quick Profile Popup
Throughout the entire Flock app — in chat messages, prayer cards, attendance lists, and anywhere else a member's avatar appears — you can tap on their photo to see a quick profile popup.
This popup appears as a bottom sheet without navigating away from your current screen. It shows the member's name, photo, role, and contact info, with quick actions to send a message or view their full profile.
This means you do not have to navigate to the Roster tab every time you want to contact someone. See a name in chat? Tap their avatar. Want to call someone who posted a prayer? Tap their photo on the prayer card.
Managing Your Members
Inviting New Members
From the Roster tab, you can invite new people to join your group. Flock gives you three methods:
- Email invitation — Enter their email and Flock sends a join link
- Join code — Share a short code for them to enter in the app
- Direct link — Copy a URL they can open on any device
For a detailed walkthrough, see How to Invite Members to Your Church Group.
Placeholder Members
If someone in your group has not downloaded the app yet, you can add them as a placeholder member. Enter their name and optional contact info, and they appear on the roster marked as a placeholder.
When that person eventually joins Flock and finds your group, they can "claim" their placeholder. Their attendance history transfers to their real account automatically, and you approve the claim to finalize it.
This is helpful when your group has been meeting for a while and you want to start tracking everyone's attendance — even the people who have not set up the app yet.
Removing Members
If someone leaves the group or needs to be removed, leaders can manage membership from the roster. Removed members lose access to the group's Prayer Wall, chat, events, and attendance records.
Contacting Members
The roster is designed to make it easy to reach your people. From any member's profile, you can:
- Call — Tap their phone number to start a call
- Text — Send an SMS directly from the roster
- Email — Open an email to their address
- Message in Flock — Send a direct message within the app
For pastoral care, having contact info one tap away means you can follow up on prayer requests, check in with at-risk members, or simply say "Happy birthday" without hunting through your phone contacts.
Birthday Celebrations
When a member adds their birthday to their profile, Flock automatically creates celebration cards that appear on the group's Home feed. This is a small but meaningful touch — it ensures no birthday goes unnoticed in your group.
As a leader, you can use the roster to see upcoming birthdays and plan something special if you want to go beyond the app notification.
Tips for a Well-Managed Roster
Encourage profile completion. Ask your members to add a profile photo, phone number, and birthday. The more information they share, the more connected the group feels.
Profile photos improve AI attendance. When members have clear, well-lit profile photos, the photo attendance feature recognizes them more accurately. Mention this as a practical reason to add a photo.
Review the roster regularly. At the start of each semester or quarter, take a few minutes to review your member list. Are there people who moved away and should be removed? Are there regulars who have not officially joined the group in the app?
Use placeholders for offline members. Not everyone adopts new technology quickly. Placeholders let you include everyone on your roster without requiring them to download the app immediately.
